What is Qubha's Work Permit Software?

It is a digital permit to work (PTW) system for high-risk jobs in factories and plants. A supervisor raises a permit for hot work, work at height, confined space or electrical work, lists the hazards, controls and PPE, and sends it for approval. The area owner, safety officer and issuer each sign on their phone. Work starts only when every stage has signed, the permit is valid only for its approved time, and it is closed when the area is handed back. Violations are recorded against the permit and the contractor.

Built by Qubha Infotech, Chennai, for manufacturing plants in India. It runs in the cloud or on your own server, and is part of the Workforce360 platform with contract labour and the Visitor Management System.

Why switch

A paper permit cannot stop a job that should not start

Paper permit book

  • Signatures collected after the work has already started.
  • Risk assessment copied from the last permit, word for word.
  • Permits left open for days - nobody knows which jobs are still live.
  • Violations noted in a register nobody reads again.
  • In an audit or incident, the permit is in a file somewhere.

With digital work permits

  • No permit, no start - work waits until every stage has signed.
  • Hazards, controls and PPE assessed for each job before approval.
  • Live board of active, expiring and overdue permits.
  • Violations linked to the permit, contractor and worker.
  • Full record in seconds - who asked, who signed, when it closed.

  • Your sequence - set the approval stages for each permit type.
  • No waiting for paper - approvers are notified and sign from wherever they are.
  • Proof for audits - who signed, when, and what they saw.
At the work site

The permit travels with the job

The issued permit is on the supervisor's phone, with a QR code a safety officer can scan to check it on the spot: which job, which workers, which controls, and until when it is valid.

  • Valid means valid - outside its time window the permit shows as expired.
  • Spot checks - violations are recorded on the permit right there.
  • Clean hand-back - the area owner confirms before the permit closes.

FAQ

Work permit questions

What is a permit to work system?

A permit to work (PTW) system is a formal, written control for high-risk jobs such as hot work, work at height, confined space entry and electrical work. Before work starts, the hazards are assessed, controls and PPE are agreed, and authorised people sign the permit. The permit is valid only for a set time and place, and is closed when the job is finished and the area is safe.

What is work permit software?

Work permit software runs the permit to work system digitally instead of on paper permit books. Ours handles permit requests, risk assessment, staged digital approvals, time-bound permits, closure and violations on web and mobile, with a live board of every active permit.

Which permit types are supported?

Hot work, work at height, confined space and electrical permits are set up out of the box. You can add your own permit types, each with its own checklist, approval stages and validity.

How does approval work?

Each permit type has approval stages, for example area owner, safety officer and issuer. Each approver is notified, reviews the job and risk assessment, and signs digitally on web or mobile. Work cannot start until every stage has signed, and every signature is time-stamped.

Is risk assessment part of the permit?

Yes. The requester lists the hazards for the job and the controls and PPE required. Approvers see the risk assessment before they sign, and it stays with the permit as a record.

How are permits closed?

When the job is done, the team closes the permit and hands the area back. Permits that run past their approved time are flagged as overdue on the permit board so they can be closed or extended.

Can safety violations be recorded?

Yes. Violations found during a job, such as missing PPE or work outside the permitted area, are recorded against the permit, the contractor and the workers involved, so repeat offenders and risky jobs show up in reports.

Does it work with contractor management?

Yes. It is part of the Workforce360 platform, so contractors and contract workers come from the same records as contract labour management and attendance. Permits are raised for the people who are actually on site.

Can it run on our own server?

Yes, on your own server or in the cloud, on web browsers, Android and iOS.

Who makes it?

Qubha Infotech Pvt Ltd, Chennai, Tamil Nadu, India - the same team builds, installs and supports it.
